The annual gala dinner and award ceremony is one of the biggest in the PCA’s busy events calendar and required complete AV production design suitable for such an occasion.
The project brief from the client was for a big, modern stage-look that was quite different from previous years. After an initial design phase within con-sol’s internal team, we put forward a few different concepts to the PCA.
With the client’s feedback, we then combined several elements to form a spectacular look that met the brief and was also within budget.
- Creative concepts
- Technical direction
- AV production
- Contractor collaboration
The ICC Ballroom was booked for this event which presented con-sol with two challenges: a huge space and a very short set up and pack down timeline.
At almost 3000 square metres, the ICC Ballroom is a considerable space and with 1200 guests in attendance, we had to ensure that the production enabled each guest to feel involved in what was happening on-stage.
Furthermore, we had to deliver a concept that was achievable given the short amount of time we had to set up and break down the stage and AV elements – just 22 hours from start to finish.
To create an engaging experience for all 1200 guests, we used multiple screens in different sizes and orientations. The screen set up took it beyond functional and made it visually fluid, giving us the flexibility to move and manipulate video and camera elements from screen to screen.
The end result was a screen look that was much more interesting and engaging than just a single video repeated around the room.
With so much video real estate, a close working relationship with a highly specialised content creation was essential to ensure the screen content and the physical screen looks worked in a complementary manner.
Our close working relationship with the client and the creative agency meant we could collaborate to ensure the best creative outcome. Every single video package, which amounted to more than 200 assets, was built around the holding animation. This meant we could transition between videos seamlessly without ever going to a black screen.
To take it to the next level, we wanted something dynamic that could change as the event progressed through dinner, awards and evening entertainment. On this occasion, an LED / video element was the perfect choice to complement the large scale projection.
As soon as we saw the initial designs for the content and branding of the show, we knew we could incorporate it into the stage set. We took the animated beams from the video assets and built it on stage.
VDO Sceptrons from Martin Lighting were perfect for turning the 2D visual into a 3D set piece that could replicate the onscreen holding graphics during the awards and then produce a stunning, moving backdrop for the live band later on.
The end result was an eye-catching visual experience for all guests.
From the animated stage background to the striking 4k video quality, we used our technical resources to maximise the visual impact.
Combining our technical expertise with the client’s vision and creative partners, we were able to deliver a spectacular look that met the brief and was feasible within the event budget and the considerable logistical constraints.
The PCA absolutely loved it and the event was a great success. The only remaining question: how to top it next year?
